Advanced Task Management for Corporate Services
Managing complexity at portfolio scale
The client manages corporate services for a large portfolio of businesses in the UAE. Each client company has its own set of recurring and one-time compliance tasks: trade license renewals, visa processing, Ejari renewals, MOA amendments, shareholder changes, and more. Some clients have dozens of active tasks running concurrently, each at a different stage.
Before the system was built, the team managed this through a combination of email threads, spreadsheet trackers, and calendar reminders. The approach worked — until it didn't. As the portfolio grew, task deadlines were occasionally missed. Follow-ups got lost in email chains. New staff members had no structured way to understand where a client's tasks stood or what was needed next.
Designing the lifecycle management system
We built a custom Task Management System designed specifically around the corporate services workflow. At its core, the system treats each client company as a managed entity with its own lifecycle — and each service requirement as a structured task with defined stages, responsible parties, document checklists, and deadline tracking.
Company registration tasks flow through defined stages: document collection, authority submission, approval tracking, and certificate delivery. License renewals have their own workflow with automated reminders triggered at configurable intervals before the renewal date. Custom task types can be configured for non-standard service requests.
Automated alerts and escalations
A key capability of the system is its proactive deadline management. For license renewals, the system sends automated reminders to the assigned case manager and the client at 90, 60, 30, and 7 days before expiry. If a task hasn't progressed past a certain stage by a defined point before deadline, it automatically escalates to a supervisor.
The system also generates a daily digest for team leads: tasks due this week, tasks approaching critical deadlines, and tasks awaiting client-provided documents. This has largely replaced the daily standup task review that previously consumed significant management time.
The impact on client delivery
Since deploying the system, deadline misses have been reduced to near zero. New staff onboard faster because the task system provides a clear, structured view of what needs to happen for any given client or task type. Clients receive proactive communication rather than reactive updates.
The system has also enabled the firm to take on more portfolio volume without proportionally increasing headcount, because case managers spend less time on administrative tracking and more time on actual service delivery.
