ERP Implementation for FMCG Trading Company
The operational challenge of FMCG trading
FMCG trading businesses operate on thin margins and high transaction volumes. A typical day involves dozens of purchase orders from suppliers, hundreds of sales orders to retailers and distributors, and continuous inventory movement across warehouses. The margin between a profitable quarter and a difficult one often comes down to operational efficiency: how quickly can the business turn inventory, how accurately can it price and invoice, and how clearly can management see what's happening in real time.
The client was managing these operations across disconnected systems. Sales orders were tracked in one tool, purchase orders in another, and inventory was reconciled manually at month-end. Finance had to aggregate data from all three sources to produce even a basic P&L — a process that took days and was prone to errors from manual data entry.
The ERP implementation
We implemented an integrated ERP solution configured for FMCG trading operations in the Saudi Arabian market, including VAT compliance and Arabic-language interface requirements. The implementation covered procurement, sales, inventory management, and financial accounting as an integrated system — with all modules sharing a single dataset.
Purchase orders flow from procurement into inventory when goods are received. Sales orders trigger automatic inventory allocation and deduction at the point of dispatch. Invoicing is generated directly from confirmed sales orders, with VAT calculations handled automatically and submitted in the correct format for ZATCA compliance.
Financial visibility and reporting
One of the most significant changes post-implementation was the availability of real-time financial data. Management can now view gross margin by product category, by customer, and by time period without waiting for month-end consolidation. Stock valuation is updated continuously as goods move, giving finance an accurate picture of inventory value at any point.
The accounts receivable and payable modules enable the finance team to manage payment terms and cash flow with precision. Overdue invoices trigger automatic reminders. Payment allocation is handled within the system, eliminating the manual reconciliation that previously occupied a significant portion of the finance team's time.
Operating with confidence
With an integrated ERP in place, the business can make procurement and pricing decisions based on accurate, current data rather than estimated figures from disconnected spreadsheets. Management reporting that previously took a week to produce is now available on demand. The business is positioned to scale its trading volume without a proportional increase in back-office overhead.
